SOP: Managing Vaccines, Services, and Reports

Objective

To efficiently manage vaccines, services, and reports by checking for expired vaccines, scheduling appointments, and pulling necessary reports.

Key Steps

  1. Check Vaccine Expiration:

    • On the daily snapshot, identify expired vaccines (red) or those due to expire in the next 30 days (yellow/orange).

    • Navigate to the immunization section to update pet owner profiles with vaccine information.

  2. Schedule Appointments:

    • Monitor the daily snapshot to see the number of pets arriving for different services.

    • Use the filter option on the appointment page to view specific service appointments.

  3. Pull Reports:

    • Search for "immunizations" to access various immunization reports.

    • Search for "appointments" to find checked-in appointments with immunizations and other related reports.

    • Utilize filters like "future" to view upcoming appointments.

  4. Manage To-Do List:

    • Review add-on services, feeding, and medication information.

    • Print reports individually or select all for printing.

    • Mark completed tasks, leave staff or owner notes, and set up dynamic notes as needed.

  5. Roll Call:

    • Use the roll call feature to track checked-in dogs and mark them as present in the facility.

  • Ensure accurate entry of vaccine dates to update pet owner profiles correctly.

  • Double-check appointment details before scheduling or making changes.

  • Verify the completeness of tasks before marking them as done.
