Creating Automated Pricing Rules for Early Drop-Off Fees

This feature allows you to automatically charge an additional fee during specific timeframes before the scheduled check-in or within certain clock hours.

Accessing Pricing Rules

Go to your RunLoyal staff portal in a Google Chrome browser (desktop or laptop required).
Navigate to Settings → Pricing → Peak Days/Late/Early Drop Off.
Click Add New Rule to begin creating your pricing rule.

Option 1: Based on Scheduled Check-In Time:

To set up an early drop-off fee based on how early a pet arrives compared to their scheduled check-in:

Create a Pricing Name (example: Daycare Early Drop – Before Scheduled Check-In Time 1–30 Minutes).
Select the Service Category (example: Daycare).
Select the Service Type (example: Full Daycare).
- If pricing differs per service, create separate rules. Otherwise, multiple services can be selected under one rule.
Set the condition: Actual Check-In Time is Before Scheduled Check-In Time.
Define the timeframe: Actual Check-In Time (Minutes) is earlier by 1–30 minutes.
- Adjust the timeframe as needed.
Enter the % or $ amount to apply, and click Save.
- You may choose to increase or decrease the price.

Option 2: Based on Clock Hours:

To set up an early drop-off fee tied to specific clock hours:

Create a Pricing Name (example: Daycare Early Drop-Off Fee – Between 6 AM and 7 AM).
Select the Service Category (example: Daycare).
Select the Service Type (example: Full Daycare, Half Daycare).
- If pricing differs per service, create separate rules. Otherwise, multiple services can be selected under one rule.
Set the condition: Actual Check-In Time (Clock Hours) is between 0600 and 0700 (military time).
Enter the % or $ amount to apply, and click Save.
- You may choose to increase or decrease the price.

How It Works

When an appointment falls under the early drop-off timeframe, the associated invoice will automatically display a new tab with the applied pricing rule.
The fee will only appear once the early check-in timeframe occurs.
The same process can be applied to other services such as Boarding, Grooming, and more.
