Managing Pricelists with Future Effective Dates in RunLoyal

Overview:

RunLoyal allows you to create and activate new pricelists with a future effective date. This ensures that pricing changes can be planned in advance without impacting existing or past reservations. When a new pricelist is activated, the system automatically applies updated pricing to eligible appointments based on their start date, while preserving historical pricing accuracy.

This feature is ideal for seasonal price changes, annual price updates, or planned rate increases.

Effect on Reservations:

1. When a new pricelist is activated, RunLoyal applies pricing based on the appointment start date:
   1. Appointments with a start date on or after the activation date- Automatically use the new pricing.
   2. Appointments with a start date before the activation date- Continue to follow the previously active pricelist.
   3. Confirmed appointments-the  If the start date is on or after the activation date, prices will update automatically to new pricing.
   4. Checked-in appointments- 
      1. Even if the start date is on or after the activation date, they will retain the old pricing.
      2. To apply the new pricing, simply edit the appointment and save it again.

How to Create a New Pricelist:

1. Navigate to Settings

   1. Go to the Settings menu in the system.

2. Access Pricelist

   1. Select the Pricelist from the available options.

3. Create a New Pricelist

   1. Click the Create New button to generate a new price list.

4. Set Activation Date

   1. Choose the date when the new pricing should become active. 

5. Modify Pricing

   1. The system will automatically copy the current pricing into the new pricelist.
   2. Adjust the prices as needed for the services.

6. Activate the Pricelist

   1. Once all changes are completed, activate the new pricelist.

1. Existing confirmed appointment price: $210
2. Appointment dates:
   1. Jan 02, 2026
   2. Feb 03, 2026
       
3. New pricelist created with:
   1. Updated service price: $250
   2. Activation date: Feb 02, 2026
      
4. Result:
   1. Confirmed appointment on Feb 03, 2026- Updated automatically to $250
   2. Confirmed appointment on Jan 02, 2026- Remains at $210, as it is before the activation date
