RunLoyal – Advanced Staff Calendar (ASC)

Filters, Navigation, Staff Hours, Appointments, and Pet Details


Filters in ASC for Easy Viewing of Appointments:

  1. Navigate to the Advanced Staff Calendar from the left-side menu.

  2. Change Location – Switch between locations to view appointments at other branches.

  3. Filter for Today – Use the Today filter to jump to the current day.

  4. Show Waitlist Appointments – Toggle Show Waitlist to display unapproved/waitlisted bookings.

  5. Go to Date – Navigate directly to a specific day.

  6. View Selector – Choose from:

    • Default

    • Detailed

    • Summary

  7. Switch View Mode – Change to Day, Week, or Month view.

  8. Print – Click the print icon to print the view.


Navigation (2 Steps)

  1. Daily Navigation – Use Previous Day and Next Day buttons to move day by day.

  2. Weekly/Monthly Navigation – In Week or Month view, use navigation arrows to move between weeks or months.


Manage Hours for Staff (6 Steps)

  1. Manage Staff Hours – Click the calendar icon next to the staff’s name.

  2. Add Working Hours – Specify start and end times.

  3. Block Hours – Add blocked times (e.g., Staff Meeting, PTO, Lunch).

  4. Apply Changes – Apply for current or future weeks; notify staff if needed.

  5. Save Changes – Click Save.

  6. View Updates – Updated hours and blocks appear in the calendar.


Drag & Drop Appointments (3 Steps)

  1. Move Appointment – Drag and drop to another staff member or time slot.

  2. Confirm Move – Click Confirm to save.

  3. Updated Appointment – Changes reflect immediately.


Creating New Appointments from Staff Calendar (2 Steps)

  1. Add Appointment – Click the Add Appointment icon.

  2. Select Options – Click within staff working hours to choose:

  • Add a Single-Service Appointment

  • Add a Multiple-Service Appointment

  • Manage Working & Block Hours

  • Single-Service Appointments: Only staff-based services allowed.

  • Multiple-Service Appointments: Combine services, even if not staff-based.


Adding a Single-Service Appointment (4 Steps)

  1. Search Pet/Owner – Enter name and select from list.

  2. Choose Service & Date – Select service and start date.

  3. Add Appointment – Click Add Appointment.

  4. View Appointment – Appears on the calendar.


Adding a Multiple-Service Appointment (3 Steps)

  1. Click Add a multiple-service appointment.

  2. Select multiple services, dates/times, and assign staff/rooms.

  3. View services as per staff’s assignments.


Pet Details (5 Steps)

  1. View Appointment Details – Click pet’s appointment.

  2. Edit Appointment – Reassign staff, adjust details.

  3. Pet Information – Displays Name, Weight, Age, Owner Info.

  4. View Report/Run Card – Review service activities and care details.

  5. Check-In / Check-Out – Manage arrivals and departures.


Appointment Details (8 Steps)

  1. Copy/Create Appointments – Duplicate, create recurring, cancel, or mark No Show.

  2. Mark as No Show – Select appointment → Mark as No Show.

  3. Cancel Appointment – Select appointment → Cancel Appointment.

  4. View Invoice Details – Access your invoice with details on Paid, Payable, and Balance.

  5. View Service Profiles – Review linked service details.

  6. Add Incidents – Log issues/events.

  7. Review Past Appointments – Click Previous Appointments.

  8. Add Notes – Enter staff notes for collaboration


  • Employee Availability
    • Green indicates employee availability.
    • Blocked hours can be added within normal working hours.
    • Notifications are sent to employees for any changes in hours.
  • Booking Reservations
    • Single or multiple appointments can be added.
    • New customers can be added easily.
    • Current customers can be selected for booking.
  • Service Selection
    • Select pets and services to be delivered.
    • The system warns if employee cannot deliver a specific service.
  • Appointment Management
    • Change staff members if needed.
    • Add assistants for services (paid add-on).
    • Open invoices for payments or changes.
  • Service Profiles and Notes
    • Create service profiles with notes.
    • Add incidents and view previous appointment notes.
  • Pet Profile Management
    • Add tags and notes to pet profiles.
    • Mark appointments as no-show or cancelled.
  • Checkout Process
    • Add open invoices to reservations.
    • Apply tips, coupons, gift cards, and manual adjustments.
    • Add non-commissionable services.
  • Payment and Deposits
    • Record payments, deposits, and send payment requests.
    • Custom messages for payment requests.
    • Check out pets and send reviews for feedback.
  • Review and Feedback
    • Send reviews to Facebook or Google.
    • Utilize paid version for enhanced review options.
    • Reschedule appointments as needed.
