Setting Up Memberships in RunLoyal Software

Use a desktop or laptop with Google Chrome for all setup tasks.


Accessing Membership Setup

  1. Go to Settings.

  2. Click Membership Services.

  3. Click Membership Configuration.

  4. Click Add Membership.


Membership Details

  1. Enter the Membership Name.

  2. Add a Description.

  3. Select the Membership Plan (e.g., Monthly).

  4. Select the Pet Type(s) the membership applies to.


Membership Pricing Structure

  1. Tier Pet Pricing – Prices vary based on the number of pets.

  2. Flat Pet Pricing – one fixed price regardless of pets.

  3. Select Membership Check-in Option: Unlimited or Count-based.

  4. Enter the Allowed Pet Count per Check-in.


Auto Renewal Setup

  1. Select one auto-renewal method:

    • By expiration datethe  – renews at end of the membership period.

    • Based on usage count or expiration date, whichever happens first.


Pet Restrictions

Basic Pet Restrictions

  1. Configure Minimum Pet Age and enable kiosk/app restrictions if needed.

  2. Select the Pet Sex for eligibility.

  3. Select Required Vaccines and enable restriction for kiosk/app purchase or check-in.

Advanced Pet Restrictions

  1. Click Setup.

  2. Select Pet Sex.

  3. Configure Minimum & Maximum Age (in months).

  4. Configure Minimum & Maximum Weight (in lbs).

  5. Configure Vaccines.

  6. Enable Force Conditions for purchase and check-in.

  7. Click Save & Add New to add additional restriction sets.

  8. All configured restrictions will be listed in this section.


Service Mapping to the Membership

  1. Select the Service Category and Services.

  2. Click Assign and set the Quantity included in the membership.

  3. Click Done.


Start Date Preferences

  1. Toggle ON Display Start Date Selection to allow pet owners to choose the effective date.

  2. Toggle OFF to disable start date selection.

  3. Toggle ON Recurring Membership Defaulted to Auto-Renew and choose Show opt-out option at purchase if pet owners should be able to disable recurring.

  4. Choose Do not show opt-out option if recurring should remain mandatory.

  5. Click Add to save the membership.

  6. Click OK.


Membership Hours

  1. Click Membership Hours.

  2. Select the Created Membership.

  3. Configure the Hours.


Membership Area

  1. Click Membership Area.

  2. Click Add Area, name it (e.g., “North Zone”), and click Add.

  3. Click Add Unit, enter the unit name, and link it to the membership.

  4. Set Max Pets per Unit and Number of Units, then click Add.

  5. Click OK.


Membership Pricing

  1. Click Membership Pricing.

  2. Click the Edit button.

  3. Based on Tier Pricing, two options will appear:

    • Single Pet Pricing – price is multiplied automatically by pet count.

    • Tiered Pet Pricing – set prices for different pet counts.

  4. Click Update for each section.


Once memberships are set up, you can sell them to pet parents:
  1. Navigate to Quick Checkout (QC).
  2. Search for a Pet Parent by name.
  3. Select Add Membership.
  4. Choose the correct Membership
  5. Click Add to Cart.
  6. Proceed to Payment to complete the purchase.


You can also sell a membership from the pet owner profile by navigating the membership section and clicking on Add Membership
